Welcome to FuelGuard. FuelGuard is an enterprise fleet fuel monitoring and fraud prevention mobile application designed for commercial drivers, co-drivers, fleet managers, and corporate fleet administrators.

We respect your privacy and are committed to protecting the personal data of our users. This Privacy Policy explains how our application collects, uses, stores, and protects information when you use the FuelGuard mobile application and backend services.

2Information We Collect

To provide verified fuel dispensing logging and fleet audit functionality, FuelGuard collects the following categories of information:

• User Account Information: Driver/User name, registered mobile phone number, employee identification code, assigned vehicle details, and organization name.
• Camera & Media Files (Photos & Videos):
  • Odometer dashboard photograph
  • Fuel tank gauge photograph (before fueling)
  • Video recording (min 60 seconds) of the fuel nozzle and meter during fueling
  • Physical fuel invoice / slip photograph
  • Computerized fuel pump receipt photograph
• Location Information (GPS Coordinates): Precise geographic location (latitude and longitude) captured strictly in the foreground at the moment of submitting a fuel record to verify that fueling occurred at an authorized petrol pump.
• Device & Diagnostics Information: Device model, operating system version, and temporary app crash diagnostics for troubleshooting purposes.

3How We Use Your Information

The information collected is used solely for the following legitimate business operations:

• Authenticating authorized drivers and co-drivers via Secure One-Time Password (OTP).
• Preventing fuel theft, fraudulent billing, and unauthorized fuel filling.
• Providing fleet managers with verifiable audit proof (photos, GPS coordinates, timestamps, and fuel receipts).
• Generating transparent expense records and fuel consumption analytics for fleet operations.

4Permissions Used by the App

The Android application requests the following runtime permissions strictly to perform its core functions:

• CAMERA (android.permission.CAMERA): Required to take real-time photos of the odometer, fuel gauge, fuel slips, and record fuel filling video proof.
• LOCATION (android.permission.ACCESS_FINE_LOCATION & ACCESS_COARSE_LOCATION): Used strictly in the foreground when submitting a fueling record to geotag the fueling location. (We do NOT track location continuously in the background).
• INTERNET (android.permission.INTERNET): Required to transmit encrypted fuel submission logs and media to the secure enterprise server.

5Data Security & Storage

We implement industry-standard technical and organizational security measures to protect your information:

• All data transmitted between the mobile app and server is encrypted using Transport Layer Security (TLS/HTTPS).
• Photos, videos, and submission logs are stored securely on restricted-access enterprise cloud servers.
• Access to submitted records is strictly restricted to authenticated fleet managers and administrative personnel.

6Data Retention & Deletion Rights

Fuel submission records and audit proofs are retained in accordance with corporate audit compliance policies.

Drivers and users may request account deactivation or deletion of their personal information by contacting their fleet administrator or by emailing our privacy team at the contact address below.

7Children's Privacy

FuelGuard is an enterprise application designed exclusively for professional commercial drivers and corporate fleet employees. We do not knowingly collect personal information from individuals under the age of 18.
